Hope Clinic
HopeClinic is a small clinic with two departments i.e. Admin and
Health. Admin department is responsible for the Clinic maintenance
and staff Management. The manual patient record management is the
responsibility of Admin Department. Health department is
responsible for making and managing the doctor schedule, patient
and doctor appointments and payments from the patients. The Patient
Information Management system (PIMS) is an automated database
system that is used to manage patient information, their history,
and its administration. It is meant to provide the administration,
doctors, and receptionist, with information in real-time to make
their work more manageable.
If you discover that the data in the case study is incomplete,
you are expected to add necessary assumptions. You are also
expected to include suggestions that would improve the system and
justify your assumptions.
Problem Statement:
The existing system for storing the essential patient data is
all paper based. Paper files are consuming lot of office
space. Process of recording information is slow; processing and
retrieval of pervious information is a tedious job for the
management. The data of patient is not secure. The current system
is incapable of handling the growth in number of patients as the
years role by. As a result, there were many issues related to
loss of patient information, data repetition, security, and
inconsistency.
The decision has been made to develop a new Patient Information
management system, that should be capable to store, process and
maintain data of all patient records, their appointments, history,
diagnosis, and medication. System should maintain the record of all
doctors and other staff working in the clinic.
The details of some basic information that must be considered in
your design for the PIMS database are given below. Based on your
understanding of the case study, there may be some other relevant
details needs to consider in order to create a normalized
model.
Proposed Features for New system:
This PIMS is an automated system to simplify the communication
process between the doctor and the receptionist. It will facilitate
Admin department for Patient record management. The system would be
operated by admins, doctor, and receptionist. Receptionist would be
responsible for assigning token numbers and appointment to the
patient visiting the clinic and save it in the database along with
their details. These token numbers along with respective patient
details are sent to the required doctor. The doctor can view
patient details and after diagnosis the patient, the doctor will
write the prescription, add the recommended medicines for the
patient and save it into the database. Then the patient will be
sent to the receptionist. The receptionist can then generate the
bill and feed into the database. The system also maintains
patient’s history so that doctor or receptionist can view them
anytime. The system can thus reduce complexity in maintaining
patient’s records.
Business Process
Login: Receptionist, Admin and Doctors can only Login with the
system
Register patient: The system should capture patient demographic
information that will be used by all other departments.
Patient History/Patient Search: Detail history of Patient
i.e. previous diagnosis, medication, allergy to medication
should be recorded. Doctor can view patient history.
Appointment scheduler: Admin/ Receptionist will responsible for
scheduling appointment for Patients with the doctor.
Manage Doctor and Staff Profile: Allow system to manage the
profiles of all staff in the clinic.
Diagnosis Prescription and Medication: keep the record of
patient history, diagnosis, and Medication.
Payment: Patient does the payment at the time of visit. Payment
Method is either Insurance, cash, or card.
Security: Assign access rights and privileges to the system
users. Only authentic users can view patient information and
its details.
