The company has 12 employees and an annual turnover of around £2m with sales mostly the UK, Europe, and the Middle East. You are the business owner, and the senior manager responsible for managing all projects to completion: 1. Part 1. Produce IDEF (A-0) and A (0) diagrams to model the process from customer enquiry to final installation (as described in Box 1 below). Appraise the model and summarise your conclusions. As the senior manager you are free to make any reasonable assumptions about the business, add any additional information, or make changes to business processes, staff etc. However, you must record and explain these in your model appraisal and conclusions. 2. Part 2. Produce a project plan for a typical project (based on your IDEF model in Part 1). Your plan should include the following sections: 1. Introduction, include: o Key information about the project o Stakeholders, responsibilities o Product specification i.e. detail from customer consultation 2. Work breakdown and risks: o Produce a breakdown of the project using a Work Breakdown Structure o Identify and assess project risks. Specify mitigation measures 3. Timeline. Use a Gantt Chart to provide a visual timeline for the project. You do not need to use MS Project for this task. Excel or a neatly drawn Gantt Chart is acceptable. Ensure the diagram shows: o Task dependencies o The critical path o Milestones 4. Other information o Include any comments about what you have presented in sections 1 to 3. Include any other information you believe to be useful in the planning of this project. o Your assignment submission should be submitted as a single report. Box 1 A typical project begins with a customer enquiry to the sales team (via a telephone call, the website or from customer contact at a sales event). Following the enquiry, a member of the sales team arranges a visit for the customer to produce an order specification. A visit usually takes place within 2 weeks from the initial contact and takes 1-2 hours. The order specification includes, (1) The number of items required (2) The table style, dimensions, materials, and fittings (for AV and computer systems), and (3) the chair style, materials, and upholstery. The sales team (2 salespeople, 1 admin person) works with the design team (currently 1 designer) to produce a quotation. The design team use the order specification to produce the designs for the table and chairs, and the layout for the installation. This involves (1) sourcing the materials, upholstery, and fittings (for AV and computers), and (2) confirming the price and lead times with suppliers. The design team produces an estimate of the final total cost, and the lead time. The sales team use this estimate to produce the quotation. The quotation is then sent by the sales team to the customer. The customer should receive a quotation within 15 days from the date the member of sales team visits the customer. An average order includes 1 x table, and 6-8 x chairs. The maximum has been 12 x chairs, and the minimum 0x chairs. The order is confirmed when the customer accepts the quotation and pays the deposit. Order confirmation generates (a) a schedule for manufacture, and (b) a purchase order for materials and components which must be bought from suppliers. Suppliers lead times for most items have usually been between 1-2 days. The table and chairs are manufactured concurrently by a team of 4 multi-skilled crafts people who can make both tables and chairs. A chair can be made by 1 craft-person who normally would work on a single chair through to completion. It takes 4 days to make a chair. A table is usually made by 2 craft-persons. It takes 10 days to make a table, and an additional 3-5 days to assemble it with the fittings. All items of furniture are then inspected and packed for shipping to the customer. It takes on average 1 day to inspect, and 2 days to pack the furniture. Once the furniture has passed inspection, the sales team arrange a date with the customer to deliver and install the furniture at the customers premises. The delivery and installation are normally done by a team of 2 fitters. Installation and checking normally takes 1 day. This service is also considered part of the project.
