Project context
At one of the Polish universities, during the May session of the
Senate, a discussion was initiated on the support of didactic
processes by the university's IT system. It turned out that
although over 80,000 students study at 15 faculties at the
university, there is no efficient and uniform system supporting the
management of the diploma thesis service process. A large number of
students and employees, the need to perform extensive reporting and
the University authorities' efforts to achieve the third degree of
process maturity contributed to the Rector's decision to start work
on the development of a uniform IT system supporting the handling
of diploma theses.
After a long and stormy discussion, the Senate decided to start
the work and entrusted it to Professor Aback. Due to the size of
the project and the desire to obtain EU funds for this purpose,
Professor Abacki started talks with other universities that might
be interested in developing and implementing such a system. As a
result of these talks, a group of 6 universities was formed, which
decided to establish a working group and start working on this
system together. The group members estimate that for such a large
consortium it is very likely to obtain funds from EU funds or
non-governmental organizations supporting the development of
education. Therefore, it was assumed that the project would be
financed by an external fund with little involvement of own
funds.
An external IT company, Softwerek sp z o.o., was invited to work
on the development of a thesis support system (SOPeD). After
getting acquainted with the project conditions and assumptions of
the general business model, the company started to develop a
project management plan, which is its vision of running the
project. Professor Abacki, the head of the project, is waiting
impatiently for this document, as it makes the future of the
project and cooperation with Softwerek dependent on its
content.
Business model assumptions
A student completing a certain stage of education must complete
and defend a final thesis called a diploma thesis. The university
consists of several faculties. At each faculty, students can be
educated in various specializations, and information about the
faculty and specialization is important in the preparation of
university reports on defended diploma theses. The diploma thesis
is carried out at the end of each stage of study. Thus, theses are
written by students of bachelor's, engineering and master's
studies. In the future, the university plans to expand its offer of
studies with new types of studies, which will also end with a
diploma thesis. Each student, apart from the first and last name,
has a unique identifier assigned to the university in the form of
an index number. The index number is a 10-character string that
uniquely identifies a student studying at the university.
A student who wants to
complete a given type of study must choose the topic of the diploma
thesis. Of course, the supervisor, usually called the job promoter,
is related to the topic of work. The rule is that one topic is
managed by one supervisor - university employee with a doctoral
degree, habilitated doctor or professor.
The university
authorities encourage their students to write individual papers.
But they also allow two or three students to complete their work.
More people cannot write one diploma thesis.
After being written,
the work is reviewed. The review is carried out by one or more
university employees and assessed. Each reviewer can evaluate the
work on a scale from 2 to 5. The work is also assessed by the
supervisor. The reviewer and supervisor's evaluation cannot be a
collective evaluation of the work, but must apply to each of the
authors of the work separately.
Some words from a
predefined set are assigned to a job. These are the so-called
keywords that allow you to assign the topic of work to a specific
area, and then find work related to a similar topic. Keywords can
be, for example: IT, operating systems, reinforced concrete
structures. Each job should have at least one keyword assigned to
it.
After writing the thesis, the
student begins to defend the thesis. The defense takes place on the
appointed day before the commission consisting of 3 members and the
chairman and ends with the final grade being given to each student
separately. During the exam, each student is asked and recorded
three questions. Each of the questions is assessed separately.
The university would like to improve the handling of diploma
theses and related processes. Therefore, it plans to develop an IT
system supporting the operation of these processes. The first stage
of work is to build a database that will meet the following
requirements:
1. It will enable the storage of information about defended
diploma theses of all university students
2. It will enable a quick and easy search for works related to a
given topic, department, specialization or conducted by a specific
