Description of the Provision of Spectacles for a new Optometrist Induction Pack:- A Note: The store has a receptionist at the entrance. There are consultation rooms around the room the with the name of the Optometrist or Optometric Assistant displayed at the front of each consultation room. The Cashier is to the right of the receptionist. The customer, who we prefer to call the patient, makes an appointment with our Receptionist. We ask the patient to provide their name, date of birth and preferred appointment date. The Receptionist then interrogates our work management system and retrieves an available appointment date and time from the calendar and assigns an Optometrist and Optometric Assistant to the patient appointment. If the work management system indicates a new patient, a new patient record is created with additional patient details such as address and health fund number that are requested of the patient. After assigning the patient to the appointment, the receptionist then confirms the appointment with the patient. + When the patient arrives, the Receptionist 'checks in the patient. He or she retrieves the patient appointment based on the name provided and that appointment will indicate which Optometrist and Optometric Assistant is assigned to the patient appointment. The Receptionist then
instructs the patient to proceed to a robot consultation room where the assigned Optometric Assistant is waiting." When the patient arrives, for the robot consultation, the Optometric Assistant asks them to sit down and place their head in a frame where the robot then examines their eyes. At the completion of the examination, the results are stored in the patient record. The optometric assistant then invites the patient to proceed to an Optometrist consultation. The details of which Optometrist will perform the consultation is contained in the appointment retrieved from the calendar. The Optometrist retrieves the historical patient information and proceeds to do a consultation where the eyes are measured and the specifications for spectacles developed. This information is used to update the patient record. The patient is then invited to meet with the assigned Optometric Assistant to select spectacle frames. The Optometric Assistant retrieves the patient lens details from the patient record and explains what frames can be used with the lens. When the patient completes the selection of spectacle frames, the details of the frames are used to update the patient record. The patient then exits the store and is advised to wait for notification of when the spectacles will be manufactured and ready for collection. The manufacturing process involves taking the patient's lens and spectacle details and forwarding that information with a purchase order to the spectacle manufacturer. Upon completion of manufacture, the spectacle manufacturer ships the goods together with the shipping slip to the store. Following receipt of the shipping slip and reconciliation with the purchase order, the patient is notified that their spectacles are available for collection and the patient record is updated." When the patient receives a notification that their spectacles are available, he or she makes a appointment in the same way as the initial appointment. The main difference with this appointment is that the Receptionist making the appointment will notice the change in the patient status in the patient record. The status will indicate that the consultations have been completed and this appointment is to collect the spectacles. The patient arrives and checks into the clinic as they did with the initial consultation i.e. providing their name and date of birth. The Receptionist retrieves the appointment and then instructs the patient to proceed to the assigned optometric assistant to fit the spectacles. When the spectacles have been fitted the patient record is updated. The patient is then escorted to the cashier who then proceeds to invoice for services by retrieving the patient billable details from the patient record. The cashier processes a charge against credit card or a direct debit against a bank account and a receipt is provided and the patient who then leaves the store with their new spectacles.
