Using the questions below as a guide, prepare a proposalsubmission to present to the company outlining how you canalleviate a large portion of their administrative issues byimplementing a software solution your company designs and providessupport for after implementation.
Outline your understanding of their problems, needs and what youthink could be a solution could be. Ensure you assign appropriateroles to each person using the characters in this case study tocomplete work they are capable of as well as the people from yourcompany to manage this work accordingly. Complete a cost estimatewith itemized items as outlined.
Keep this submission short and direct. This is small project andwill require less effort to put together as it is a small job. Youdo not want the RFP submission to take more time to put togetherthan the whole project to complete.
Prepare an Overview/Introduction of your company andwhat your company does as an introduction, highlightsome of company’s key abilities
Understanding of the Problem - Provide a narrative thatdescribes your knowledge and understanding of the issue(s)described in the case study, as well as a description of yourability to achieve the objectives of this proposed work.
Project Goals and Scope – Your Understanding andApproach - Explain in point form what you believe the scope andgoals of this solution should be using the information found in thecase study provided.
Technical Approach - Provide a narrative that describesyour approach or methodology to achieve the objective(s) anddeliverables. This narrative should include the quality,comprehensiveness, and feasibility of methods and plans proposed toaccomplish the required tasks.
Relevant Experience/Capabilities - Provide a narrative thatdescribes your relevant experiences and capabilities related to theobjective(s) described in the RFP. Highlight your previousexperience offering similar services or capabilities.
Cost Estimate - Provide a detailed and itemized list thatincludes labour rates and hours expected for your employees andyourself as well as any other direct costs you think will berequired for this work. Create a chart to organize thisinformation
Timeline, Key Tasks, and Deliverables – Outline theschedule and a proposed timeline, in a chart format, include keytasks, deliverables and resources assigned for your proposedproject – including your company resources and the peoplewho are in the case study as resources. Ensure a complete and cleartimeline is submitted that matches the proposed technical approachand tasks.
Team and Roles – Outline the role of each person orgroup, named in the case study as well as the team members neededfrom your company, including yourself, to complete the work neededto be done.

Jeslin and Jesus Joel launched Lakeside Bunkie Rentals (LBR) onthe Web three years ago. They were interested in a business thatwould allow time at their favorite summeractivity — relaxation. Several years of experience inrenting properties resulted in the creation of a small businessthat manages rentals and maintenance for 8 Bunkie’s alongthe Lake Muskoka. They use Air BNB to manage the rentals andpayments.
Jesus Joel and Jeslin both manage the financial records and usea spreadsheet and filing cabinet to keep track of numerousactivities, receipts and payments associated with businessoperations. Each Bunkie required scheduling cleaning andmaintenance, past customers, reviews, updates and pricing models,customer lists and managing stock items and supplies included inthe rental costs.
During a meeting one morning at the Bunkie site, Jeslin andJesus Joel have an ice cappuccino and discuss the plan for the day.Jeslin starts the conversation with wanting to make some changesbecause she wants both of them to be able to enjoy the summer aswell as the customers and guests, while not being completelystressed out at work.
Jeslin: Now the season is starting again, I think we needto find a more efficient way to manage our records, receipts,schedules and stock. The spreadsheet, loose papers and files arenot easy to work with. I spend more time looking for things thanactually doing them and I want our work day to end every day duringour busy season by 5:00 pm. I have spent countless days and nightsworking and this year, I want things to be different.
Jesus Joel: I don’t know. The spreadsheet is workingalright. I guess, sometimes it can be annoying to enterinformation over and over again. I try to keep it simple but wehave a lot more items that we need to track better. The suppliesand receipts are not organized, I know what you mean aboutsearching for things and no knowing what we have anddon’t. Maybe I should look into transferring the data over toan accounting program or a database program. I guess they are abetter way to go.
Jeslin: I don’t think we have enough experience and wehave exhausted all of our ideas to fix this. I think we needhelp and should put out a request for proposal for people to helpus fix some of these problems and make our lives easier to run thisbusiness and have balance in our lives.
Jesus Joel: Ok, let’s do this. I have an idea, let’s make apost on our website that we are accepting proposals for this, Iwill look up what we need to include so we can get the help we needand I will post it before Monday. Now that we are doing this, Iwould like the proposals submitted by July 15 – that willgive 10 business days and we can pick a team to help us. Hopefullywe will be able to get all of this done by August 1 and enjoy therest of the summer.
