Assume that you are the Events Manager of a hotel and you are allocated the job of organizing the Annual General Meeting (AGM) of the shareholders of XYZ Co Ltd and the Gala Dinner that follows the AGM in the evening for the board of directors of XYZ Co Ltd and their spouses. Both events are to take place at the hotel premises. Please submit a plan for the implementation and the set up for the rooms for both events. Consider the following issues and specify your decisions you make (make any necessary assumptions if needed to proceed). 1. Planning the set up for the AGM 1. Number of people to attend (the number of shareholders (say 200 persons?) is much bigger than the number of the members of the Board of Directors (say 10 persons?) of a big company) 2. Equipment needed (eg audiovisual?) 3. Special furniture if any requirements (eg podium?) 2 4. Any Very Important Person (VIP) attending the AGM (eg minister)?ح security guards? 5. Time of breaks (how many breaks, their duration?) 6. Beverages during the event (snacks and drinks? Coffee?) 7. Exhibitors (if any) (space/furniture?) 8. Gifts to be offered to the shareholders attending the AGM and how this affects you (What, how to be given out)? 9. Layout of chairs and tables set up (submit a drawing and/or describe in detail writing) 2. Planning the set up for the Gala Dinner 1. Number of people to attend (the number of the members of the Board of Directors is much smaller than the number of the shareholders of a big company) 2. Any entertainment during event (singer, orchestra, magician?) 3. Dining table (shape, size/location?) 4. Flowers (yes or no, what, where) 5. Any gifts to be offered to the shareholders attending the Gala Dinner? (What, how)? 6. Layout of chairs and tables set up (submit a drawing and/or describe in detail writing)
